One message – three registers

Situation: you are ill and can't come to work / the meeting tomorrow.

To friends (WhatsApp, informal): Hey Leute, bin leider krank 🤒 Schaff's morgen nicht. Sorry! Holen wir's nächste Woche nach? (Hey guys, sick unfortunately 🤒 Won't make it tomorrow. Sorry! Shall we do it next week?)

To colleagues (e-mail, neutral): Hallo zusammen, leider bin ich krank und kann morgen nicht ins Büro kommen. Könnte jemand bitte die Besprechung um 10 Uhr übernehmen? Danke und viele Grüße, Lena (Hi everyone, unfortunately I'm ill and can't come to the office tomorrow. Could someone please take over the 10 o'clock meeting? Thanks and best wishes, Lena)

To the manager (e-mail, formal): Sehr geehrte Frau Dr. Weber, leider muss ich Ihnen mitteilen, dass ich erkrankt bin und morgen nicht zur Arbeit erscheinen kann. Die ärztliche Bescheinigung reiche ich umgehend nach. Für Rückfragen stehe ich telefonisch zur Verfügung. Mit freundlichen Grüßen, Lena Schmidt (Dear Dr Weber, I regret to inform you that I have fallen ill and will be unable to come to work tomorrow. I will submit the doctor's certificate promptly. Mind the intermediate levels

Between "very formal" and "casual" there are many shades. Among office colleagues („Hallo Frau Kaya, …"), at university („Liebe Frau Professorin …") or in customer service, different norms apply. When in doubt: start more formally and adapt if the other person writes more casually.

Sample conversions:

  • Kannst du mal checken, ob das passt? → Könnten Sie bitte überprüfen, ob dies zutrifft? (Could you please check whether this is correct?)
  • Hab die Mail gekriegt, danke! → Vielen Dank für Ihre E-Mail, die ich erhalten habe. (Thank you for your e-mail, which I have received.)
  • Wir müssen das Meeting verschieben. → Leider sehen wir uns gezwungen, den Termin zu verschieben. (Unfortunately we are obliged to postpone the meeting.)

Forme informell um: 'Ich bitte um Ihre Rückmeldung.' -> '___!' (informell, kurz)
